This Policy explains when and why we collect personal information, about people who visit our web site and or contact our business, how we use it, the conditions under which we may disclose it to others and how we keep it safe.
We may change this Policy from time to time, please check this occasionally to ensure that you are happy with any changes. By contacting our business with specific requests and accessing the various areas of our website, you are agreeing to be bound by this Policy.
Who are we?
D Dunk Lewis & Graves are a firm of Chartered Surveyors, Valuers and Estate Agents. We are Members of the NAEA the recognised Regulatory bodies within the industry. We are members of the Ombudsman Scheme and hold the required licence for the HMRC Money Laundering Regulations. Our objectives are to provide various services in connection with most property related activities. Our Data Protection Officer is Richard Dunk, Partner.
How do we collect information from you?
We obtain information from you when you contact our business on any property related activity. For example this will include instructions from you in the buying and selling Land and Property; the request to carry out Valuations for the purpose of Probate Valuations, Inheritance Tax, Rent Reviews and Surveys.
What type of information is collected from you?
The personal information we collect will include your name, address of you and any other person who you consider relevant to the business that you require us to progress. In addition you may wish to provide us with further details such as email addresses and telephone numbers; details of your Solicitors or next of kin. To comply with the Money Laundering Provisions we will need to obtain proof of identification and in respect of a purchase, proof of funds etc.
How is the information used?
We may use your information to supply you with information on any matter related to property related matters such as supplying property details. We will use the information to notify any legal representatives in their work to process the sale or purchase of any property transactions. To carry out our obligations arising from any Contract entered into by you and us; to contact third parties to contact you direct regarding the business you have instructed us to carry out such as Energy Performance Consultants or Building Surveyors etc. or to other Estate Agents in tracking the sale process. To notify you of any changes to our Structure or Terms of Engagement.
How long will we keep your Data?
We will review our retention periods for your personal information on a regular basis. We will hold your personal information on our systems only so long it is necessary for the relevant activity and/or as set out in any relevant contract you hold with us. When the contractual arrangements have ceased we will destroy any data that you have provided as soon as practicably possible following notification unless we consider it relevant to hold the information for further reference appertaining to the contractual business conducted i.e. property details, ownership, Rent Reviews etc.
Who has access to your information?
The only persons who have access to your personal information and staff members of D Dunk Lewis & Graves. You have the right to ask for a copy of the information held by us about you and the precautions are in place to protect the loss, misuse or unauthorised alteration of your information.
D Dunk Lewis & Graves or its staff do not create a profit from your interests over and above any contractual arrangements that have been entered into with you.

The data received will either be held on paper file or with our computerised system. This information will only be accessed by staff members of D Dunk Lewis & Graves with password protection provided to the computerised systems.
